Who this guide is for

This guide is for owner-operators and independent contractors who run qualified commercial vehicles across state or province lines and file their own IFTA returns—or work closely with a small accountant who needs clean records.

IFTA basics for owner-operators

IFTA lets you file one quarterly fuel tax return through your base jurisdiction instead of buying permits in every state you enter. You still need accurate mileage by jurisdiction and fuel purchase records to support each return.

Start with our IFTA reporting guide if you want the full overview.

Records you need every quarter

  • Trip detail with dates, routes, and jurisdiction miles
  • Fuel purchases with gallons, location, and receipts
  • Vehicle unit numbers and quarterly totals
  • Supporting worksheets or software exports

Waiting until the last week of the quarter makes every filing painful. Logging trips and fuel as you go is the biggest time-saver.

A simple mileage workflow

After each trip—or at least weekly—record:

  • Where you started and ended
  • Any stops that changed your route
  • Miles by state or province

Route-based tools can calculate jurisdiction splits without always-on GPS. See IFTA mileage tracking.

A simple fuel workflow

At every fuel stop:

  • Save the receipt (photo is fine)
  • Log gallons and jurisdiction
  • Link the purchase to the trip when possible

Read IFTA fuel receipt requirements for what auditors expect.

Quarterly filing checklist

Before you file:

  1. Confirm all trips and fuel for the quarter are logged
  2. Review jurisdiction mileage totals
  3. Verify fleet MPG is reasonable
  4. Generate or complete your quarterly worksheet
  5. Submit through your base jurisdiction portal

Use our IFTA filing checklist and quarter due dates.

Mistakes owner-operators should avoid

  • Mixing personal miles with IFTA miles
  • Missing fuel receipts for tax-paid gallons
  • Reconstructing a full quarter from memory
  • Using inconsistent MPG without documentation

See common IFTA mistakes for more detail.
