What is IFTA?
IFTA stands for the International Fuel Tax Agreement. It is a cooperative arrangement among U.S. states and Canadian provinces that simplifies fuel tax reporting for qualified motor carriers operating in multiple jurisdictions.
Instead of buying fuel tax permits for every state you drive through, you obtain a single IFTA license from your base jurisdiction and file one quarterly return that covers all member jurisdictions.
Who needs IFTA?
Most qualified motor carriers that operate qualified motor vehicles across two or more IFTA member jurisdictions need an IFTA license and must file quarterly reports. Rules vary slightly by base jurisdiction, but carriers generally need IFTA when they:
- Operate vehicles over 26,000 pounds gross vehicle weight, or
- Operate vehicles with three or more axles regardless of weight, or
- Operate a vehicle used in combination when the combined weight exceeds 26,000 pounds.
Owner-operators, company drivers, and fleets can all fall under IFTA requirements depending on vehicle type and where they run.
What records are required?
Your base jurisdiction expects supporting records that prove mileage and fuel data used on the quarterly return. Commonly required records include:
- Trip records with dates, routes, and odometer or distance details
- Jurisdiction mileage totals for each quarter
- Fuel purchase records with date, location, gallons, and price
- Receipts or invoices supporting fuel purchases
- Vehicle identification and fleet details
Keeping records organized throughout the quarter is far easier than reconstructing trips after the filing deadline.
How are IFTA taxes calculated?
At a high level, IFTA compares the fuel tax you already paid at the pump with the fuel tax owed based on where you actually drove. The calculation uses:
- Total miles traveled in each jurisdiction
- Total gallons purchased
- Fleet average MPG (miles per gallon)
- Tax-paid gallons allocated by jurisdiction
- Each jurisdiction's fuel tax rate for the quarter
See our step-by-step IFTA tax calculation guide for a worked example.
What mileage records should drivers keep?
Accurate jurisdiction mileage is the foundation of every IFTA return. Drivers should maintain:
- Start and end locations for each trip
- Intermediate stops when they affect routing or state lines
- Miles by state or province for each trip
- Odometer readings or reliable distance calculations
Route-based mileage tools can calculate jurisdiction splits without requiring always-on GPS tracking. Learn more about IFTA mileage tracking with IFTAfy.
What fuel records should drivers keep?
Fuel records should match the quarter you are filing and support gallons reported on the return. Best practices include:
- Store receipts for every fuel purchase
- Record gallons, date, vendor, and jurisdiction
- Link fuel purchases to trips when possible
- Keep digital copies organized by month or quarter
IFTAfy supports per-trip fuel logging and receipt storage on mobile and web. See fuel tracking features.
IFTA filing deadlines
IFTA returns are filed quarterly. Deadlines are typically the last day of the month following the end of each quarter:
- Q1 (Jan–Mar): due April 30
- Q2 (Apr–Jun): due July 31
- Q3 (Jul–Sep): due October 31
- Q4 (Oct–Dec): due January 31
Your base jurisdiction may specify exact due dates and payment rules. Use our IFTA quarter dates resource as a quick reference.
Common IFTA mistakes
These errors create filing delays and audit risk:
- Waiting until quarter-end to gather mileage and fuel records
- Missing fuel receipts for tax-paid gallons
- Using inconsistent MPG across trips without documentation
- Entering jurisdiction miles that do not match trip detail
- Mixing personal miles with commercial IFTA miles
